Follow these instructions to prepare for an RCA Alumni Association virtual meeting

If possible, please give yourself 5 minutes prior to your meeting time to get Zoom set up. If you have any issues or questions, please contact [email protected] or your Alumni Coordinator. We look forward to seeing you online!

How to join a virtual alumni meeting from a mobile device

Please follow these steps to set up Zoom and join your meeting:

  1. The links to the Alumni meetings can be found in the Daily Email, on Facebook, on the Alumni Meetings page.
  2. Once you tap on the meeting link, if you already have the Zoom app downloaded on your mobile device, you will be launched into the app directly. In this case, skip to step # 6. If you do not yet have the app, you will be given an option to download the app.
  3. Tap Download from app store. This will bring you to your mobile device’s app downloading feature. Follow prompts to download the app.
  4. You will be given the option to Join a Meeting, Sign Up, or Sign in. It is recommended to use your first name and last initial to sign up for an account to maintain anonymity.
    • Join a Meeting – You can use this feature to enter the meeting by using the Meeting ID which is found within your invite email.
    • Sign Up – This allows you to sign up for a Zoom account. Zoom is a free app.
    • Sign In – This allows you to sign in if you already have a Zoom account.
  5. Once you launch the meeting, you may see a few options. If you have joined the meeting before the host, you will see a screen showing that the meeting has not yet started. Once the host joins, you will see a screen that indicates that the host will let you in soon. You will enter the meeting once the host admits you.
  6. You will be asked how you would like to join audio. You can choose whether to use your phone’s audio, dial in with your phone, or even enter your phone number for Zoom to call you to participate in the audio by phone. This may be helpful if your internet connection is poor. You will also be able to change your audio options while in the meeting.
  7. Once in the meeting, you can start video and stop video, and mute and unmute your audio. To turn these features on and off, tap on the mute and video icons:
  8. You can change your audio connection while in the meeting. Tap the More icon and select Disconnect Audio.
  9. You will then have the option to join audio. Tap Join Audio, then select from audio options.
  10. You can also use the Chat feature to message the host, another participant, or the entire group. To start a chat, first click the chat icon at the bottom of your Zoom screen.
  11. When the meeting has concluded, tap Leave to exit the meeting.

How to join a virtual meeting from a desktop or laptop computer

Please follow these steps to set up Zoom and join your meeting:

  1. The links to the Alumni meetings can be found in the Daily Email, on Facebook, on the Alumni Meetings page.
  2. When you click the Zoom link, a webpage will launch. Click Launch Meeting to join. If this is your first time joining a Zoom meeting on your computer, Zoom will prompt you to download the desktop app. If you already have a Zoom application installed, you will be prompted to launch it. If you do not want to install the app, click Join from your browser.
  3. In case you are asked to enter a Meeting ID or Password, these are provided to you by visiting the Alumni Meetings webpage.
  4. If you have joined the meeting before the host, you will see a screen showing that the meeting has not yet started. Once the host joins, you will see a screen that indicates that the host will let you in soon.

  5. You can configure the audio for the meeting by choosing whether to use your computer’s audio, dial in with your phone, or even enter your phone number and have Zoom call you to establish the audio for the meeting. You can change the audio setting at any time within the Zoom meeting (see step 8).
  6. You will automatically enter the meeting once the host admits you.
  7. Within the Zoom meeting screen, you can start and stop your video, and mute and unmute your audio. To turn these features on and off, click on the microphone and video camera icons. You can also change your audio connection.
  8. You can also use the Chat feature to message the host, another participant, or the entire group. To start a chat, first click the chat icon at the bottom of your Zoom screen.
  9. The Chat panel will show up on the right side of your screen. First, select who you would like to chat.
  10. Type your message and click Enter to send the message. This will now show up in your chat. If other participants chat to you or the group, the messages will be viewed in this screen as well.
  11. When the meeting has concluded, click Leave to exit the meeting.
